Role description

Key Responsibilities

• Prepare, format, proofread and distribute business emails, letters, invoices, quotes and various business documents.
• Maintain digital & physical filing systems; organize contracts, vendor records, lease‑related paperwork.
• Communicate with vendors, property management, landlords and service providers; follow‑up on orders, service requests, and invoice payments.
• Assist with basic book‑keeping support: sort receipts, organize invoices, prepare payment‑related documents.
• Coordinate meeting scheduling and distribute follow‑up information.
• Support basic HR‑related admin: maintain employee files, prepare documents for lay‑off /on‑boarding, follow‑up on ROE paperwork.
• Order office supplies, monitor inventory of office materials.
• Answer incoming phone calls, respond to internal & external inquiries.
• Perform other general administrative tasks assigned by management.

Requirements & Qualifications

• College Diploma in Office/Business Administration is an asset
• 1‑2 years relevant administrative‑assistant or office‑admin working experience
• Proficient in Microsoft Office Suite (Word, Excel); familiar with Google Sheets
• Strong English written & verbal communication; Mandarin is a strong asset.
• Extremely detail‑oriented, good multi‑tasking skill, able to prioritize multiple tasks under busy workload
• Ability to handle confidential business information with discretion
• Comfortable communicating with landlords, suppliers and third‑party service companies
• Must be legally authorized to work in Canada
